Privacy Policy — Truvantis EOM Close Assistant
1. Overview
The Truvantis EOM Close Assistant ("the Application") is an internal tool built and operated by Truvantis, Inc. ("Truvantis", "we", "us") to assist with Truvantis' own end-of-month financial close. The Application is not offered to the public, is not listed on any app marketplace, and connects only to financial accounts owned by Truvantis.
This policy explains what data the Application accesses, how it is used, and how it is protected.
2. Scope
The Application is used solely by authorized Truvantis personnel and connects only to Truvantis' own QuickBooks Online company and related internal systems. We do not use the Application to access, process, or store data belonging to any other organization or any external customer.
3. Data we access
When connected by an authorized Truvantis user, the Application may read and write the following data within Truvantis' own accounts:
- QuickBooks Online: account balances, transactions and General Journal Entries, and company information, for the purpose of preparing and posting month-end journal entries.
- Internal operational and time-tracking systems (for example, time entries and reporting views) used to calculate those journal entries.
The Application accesses only the data needed to perform a month-end close. It does not collect personal data from members of the public.
4. How we use data
Data accessed by the Application is used exclusively to:
- Verify the readiness of Truvantis' financial records for month-end close.
- Calculate, document, and post journal entries to Truvantis' own QuickBooks Online company.
- Produce internal working papers that evidence how those entries were derived.
We do not sell, rent, or share this data with any third party. The data is not used for advertising, profiling, or any purpose unrelated to Truvantis' internal accounting.
5. Storage and retention
- Authentication tokens for connected systems are stored locally on the Truvantis-controlled machine that runs the Application, with restricted file permissions.
- Working papers and run logs generated by the Application are stored locally on that same machine for audit purposes.
- We retain this information only as long as needed for accounting and audit requirements, after which it may be deleted in line with Truvantis' internal record retention practices.
6. Security
Access to the Application and to the systems it connects to is limited to authorized Truvantis personnel. Connections to third-party services use the providers' official, encrypted APIs and OAuth-based authorization. Credentials are not embedded in the Application's source code.
7. Third-party services
The Application connects to third-party platforms (including Intuit QuickBooks Online) using their official APIs. Your use of those platforms is governed by their own terms and privacy policies. We access them only on Truvantis' behalf and only for Truvantis' own data.
8. Your choices
A connected account may be disconnected at any time, either from within the third-party platform (for example, by revoking the Application's access in the QuickBooks Online connected-apps settings) or by removing the Application's stored credentials on the host machine.
9. Changes to this policy
We may update this policy from time to time. Material changes will be reflected by the "Last updated" date above.
